The Proposal Coordinator will support high-volume RFP and tender responses for large-scale infrastructure projects across North America. Partnering closely with key internal teams and external stakeholders, will work to deliver accurate, timely and well-organized responses to client requests.
Key Responsibilities Include:
- Coordinate the full lifecycle of proposal responses, from identifying opportunities and initiating internal workflows to compiling and submitting final packages on time.
- Maintain internal tracking systems to monitor active and upcoming bids, ensuring all team members are aligned with timelines, deliverables, and responsibilities.
- Format and finalize technical and commercial content to ensure proposals are clear, cohesive, and compliant with client requirements and internal standards.
- Create and update templates, formatting guides, and submission checklists to support consistent, professional-looking deliverables across all proposal types.
- Work closely with subject matter experts from Estimating, Operations, and other departments to gather and refine content that accurately represents the company's capabilities.
- Edit and review all written materials to ensure they are well-organized, on-brand, and free of errors, with a focus on maintaining a consistent voice and message.
- Communicate regularly with internal stakeholders to provide updates on proposal progress, outstanding items, and any risks to timelines or quality.
- Schedule and facilitate planning meetings, kickoff calls, and post-submission debriefs to support collaboration and continuous improvement.
- Collect required documentation from subcontractors, vendors, and other third parties to ensure complete and compliant submissions.
- Assist the estimating team by monitoring deliverables, tracking inputs, and generating internal status reports to support submission readiness
Key Skills and Qualifications:
- Minimum 3–5 years’ experience in proposal coordination, estimating support, or project administration — ideally within construction, engineering, or infrastructure sectors.
- Exceptional organizational and time-management skills in deadline-driven environments.
- Post-secondary education in Business, Communications, Construction Management, or a related field preferred.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); Adobe Acrobat and SharePoint are assets.
- Excellent communication skills with attention to detail and tone.
- Self-starter with a solutions-oriented mindset and a collaborative attitude.
